Important Information and General Terms and Conditions
All of our first-line ultrasound scan services are optional and you will be provided with either a No further action or medical follow-up or further investigation suggested recommendation result on the day*.
You must be at least 16 years old at the time of booking your scan and you should have no existing medical condition (other than pregnancy) or treatment pending related to the scan service you are booking. If you are in any doubt about having any type of scan, you should consult your GP or Midwife.
At the time of booking or prior to your appointment during registration, we take your GP or other healthcare professional’s contact details and ask for your consent to contact them in case we need to.
The protocol used by The Scan Clinic for our ultrasound scans has not been shown to cause harm and we use the As Low As Reasonably Achievable (ALARA) principle when scanning. Ultrasound safety continues to be studied and reviewed by various professional bodies.

If you wish to cancel or re-schedule your appointment we need at least 48 hours notice otherwise you may forfeit your deposit. If your appointment is booked within 48 hours (same-day or next day) then the deposit is non refundable and thus any cancellations or appointment amendments will result in loss of the deposit paid.
If you are late for your appointment unfortunately it will still end as normal at the allocated time and we will not be in a position to rebook you therefore please arrive on time so you don’t lose out.
A maximum of three guests are allowed at your appointment. We do not recommend bringing children under 5.
Pregnancy Ultrasound Scans Specific Terms and Conditions
All of our pregnancy scans do not replace or substitute any scan you have or will have with the NHS / Regular health provider and aim to compliment your primary care such as with the NHS. This is why we ask that you kindly bring your pregnancy book with previous scan results to your appointment, failure to do so may result in us not being able to perform any scans and you risk forfeit of any deposit or monies paid. All pregnancy scans come with two complimentary black/white thermal printed pictures (where available and appropriate). These pictures have no cash redemption value and cannot be refunded, transferred or exchange for credit.
The quality of the images/video are dependent on factors such as fetal position, gestational age, mothers bmi, scar tissue and amniotic fluid, which are constantly changing from day to day and are beyond the control of The Scan Clinic and its practitioners. We will always endeavor to obtain the best results on the day however If adequate image(s)/video(s) of your baby cannot be obtained due to such circumstances on the day you may choose to book another appointment for an additional charge of £50. All charges will be non-refundable irrespective of scan/re-scan results. The Scan Clinic or its practitioners cannot be held responsible for the images/videos in any way whatsoever.
This offer does not apply for twin or multiple pregnancies as the time allocated is not sufficient for this purpose. To make an appointment for twin or multiple pregnancy call us
The length of our CD/DVD/USB recording times have been selected in accordance with safety and best practice guidelines.
3D/4D Pregnancy Scans
4D Scan refers to “real time” moving 3D images.
All procedures require your GP details. All pregnancy scans also require you to attend with your maternity notes. The scan clinic reserves the right to reschedule or cancel your appointment should you not attend with your maternity notes.
*Update February 2021- Pregnancy Passport is not currently available.
The following terms and conditions apply to the pregnancy passport package (hereby referred to as the 'package') only. All pregnancy ultrasound scan terms and conditions also apply
The package price includes the total cost of any combination of 3 pregnancy ultrasound scans excluding the following:
1. Any paid scan extra's, keepsakes, add-ons or that which is not included as part of the ultrasound scan as described on the individual ultrasound scan page.
2. Anomaly ultrasound scan.
3. NIPT - Harmony Test.
Full payment for the package is required at the time of booking and cannot be made in installments.
The cost of the package for twin pregnancies is more than the normal cost of the package and the current cost should be confirmed with The Scan Clinic customer care team. Any pregnancies greater than twin are not eligible for this package.
The package is only available for one pregnancy and scans not used in a package cannot be carried over to another pregnancy.
Standard late and cancellation rules apply (see above sections - Cancellations and Late Attendance).
For any missed appointments a missed appointment charge of £30 will be incurred and will need to be cleared before the next appointment can be booked.
You may change your mind at anytime and may be entitled to a partial refund minus the cost of any scans already performed within the package. If you do wish to cancel the passport then kindly email our customer care team at firstname.lastname@example.org , we will then calculate the total cost of the individual scans you have already had (at the scans normal/standard non off-peak retail price at the time of cancellation and excluding any discounted or promotional prices) and deduct this from the pregnancy passport package price and if there is a balance owing to you then we will refund this. If however there is a payment due from you then you will be liable to pay the outstanding balance.

We continually strive to find the right balance between delivering on our mission and maintaining high levels of health and safety for our clients as well as our staff.
We have always maintained high levels of cleanliness and infection control and since the start of the pandemic have taken additional daily infection control measures across the clinic as well as ensuring all staff have adequate PPE (personal protective equipment).
You will notice that some of our services are no longer available at the moment and this is because we are limiting our range of available services to essential scans only until further notice.
We have been continually monitoring the ongoing situation and taking all official guidance, however as this is an evolving situation the information and guidelines given below are subject to change and can change with immediate effect. We appreciate this can be challenging but please bear in mind that the steps we take are for the health and safety of all our staff and clients and we really appreciate your support and understanding to follow them.
