Important Information and General Terms and Conditions

All of our first-line ultrasound scan services are optional, and you will be provided with either a no further action or medical follow-up, or further investigation, suggested recommendation result on the day^*.

You must be at least 16 years old at the time of booking your scan, and you should have no existing medical condition (other than pregnancy) or treatment pending related to the scan service you are booking. If you are in any doubt about having any type of scan, you should consult your GP or Midwife.

At the time of booking or prior to your appointment during registration, we take your GP or other healthcare professional’s contact details and ask for your consent to contact them in case we need to.

The protocol used by The Scan Clinic for our ultrasound scans has not been shown to cause harm, and we use the As Low As Reasonably Achievable (ALARA) principle when scanning. Ultrasound safety continues to be studied and reviewed by various professional bodies.

Cancellations

If you wish to cancel or reschedule your appointment, we need at least 24 hours’ notice; otherwise, you may forfeit your deposit. If your appointment is booked within 24 hours (same-day or next day), then the deposit is non-refundable, and thus any cancellations or appointment amendments will result in loss of the deposit paid.

Late Attendance

If you are late for your appointment, unfortunately, it will still end as scheduled at the allocated time, and we will not be able to reschedule you. Therefore, please arrive on time to avoid any inconvenience.

Guests

A maximum of three guests is allowed at your appointment. We do not recommend bringing children under 5.

Pregnancy Ultrasound Specific Terms and Conditions

All of our pregnancy scans do not replace or substitute any scan you have or will have with the NHS / Regular health provider, and aim to complement your primary care, such as with the NHS. This is why we ask that you kindly bring your pregnancy book with previous scan results to your appointment; failure to do so may result in us not being able to perform any scans, and you risk forfeit of any deposit or monies paid. All pregnancy scans come with two complimentary black/white thermal printed pictures (where available and appropriate). These pictures have no cash redemption value and cannot be refunded, transferred or exchanged for credit.

3D/4D Images

4D Scan refers to “real-time” moving 3D images.

The quality of the images/video are dependent on factors such as fetal position, gestational age, mother’s BMI, scar tissue and amniotic fluid, which are constantly changing from day to day and are beyond the control of The Scan Clinic and its practitioners. We will always endeavour to obtain the best results on the day; however, if adequate image(s)/video(s) of your baby cannot be obtained due to such circumstances on the da,y you may choose to book another appointment for an additional charge of £50. All charges will be non-refundable, regardless of the scan/re-scan results. The Scan Clinic or its practitioners cannot be held responsible for the images/videos in any way whatsoever.

Twin/Multiple Pregnancies

This offer does not apply to twin or multiple pregnancies, as the time allocated is not sufficient for this purpose. To make an appointment for a twin or multiple pregnancy, please call us.

CD/DVD/USB Recordings

The length of our CD/DVD/USB recording times has been selected in accordance with safety and best practice guidelines.

Information Required

All procedures require your GP details. All pregnancy scans also require you to attend with your maternity notes. The scan clinic reserves the right to reschedule or cancel your appointment should you not attend with your maternity notes.

Emergency Medical Services Disclaimer

1. Outpatient & Non-Emergency Scope of Service

The Scan Clinic provides planned, elective, non-emergency private outpatient ultrasound and diagnostic health services. Our services are not an emergency medical service and are not designed or equipped to assess, triage, or treat acute, severe, or life-threatening medical conditions.

2. Acute & Urgent Symptoms

If you are experiencing acute, sudden, severe, or rapidly worsening symptoms, you must not book or rely on a private outpatient scan. Symptoms requiring immediate medical evaluation include, but are not limited to:

Severe, sharp, or sudden abdominal or pelvic pain
High fever, severe chills, or signs of acute infection
Heavy or abnormal vaginal bleeding accompanied by dizziness, weakness, or severe pain
Uncontrolled vomiting or inability to keep fluids down
Sudden onset of jaundice (yellowing of the skin or eyes)
Visible blood in your urine (haematuria) accompanied by severe flank pain
Chest pain, shortness of breath, severe dizziness, or loss of consciousness

3. What to Do in an Emergency

If you or someone you are booking for is experiencing any of the urgent symptoms listed above, please seek immediate emergency care:

Call 999 for emergency medical assistance or an ambulance.
Visit your nearest NHS Hospital Emergency Department (A&E) immediately.
Call NHS 111 for urgent medical guidance.

4. Limitation of Liability for Delayed Care

The Scan Clinic accepts no liability for any adverse health outcomes, delays in diagnosis, or medical complications resulting from a patient attempting to use an elective outpatient appointment in place of urgent emergency care.

Promotions

From time to time on thescanclinic.co.uk (the “Website”), we run promotions.

Only one promotion can be used per order. A promotion may not be used in combination with other promotions or used to collect reward points except where specified.

Excluded products will not count towards any qualifying conditions for offers and will not benefit from any promotional discount.

All promotions are subject to availability, and while appointments are available. We reserve the right to end a promotion at any time.

We shall not be liable for any financial loss arising out of the refusal, cancellation or withdrawal of any promotion or any failure or inability of a customer to take advantage of a promotion for any reason.

Off Peak Clinics

Off Peak Clinics are specific days/times or lists that have been marked as “off-peak” whereby the regular price of the service is reduced by a certain amount up to 20%. This applies to specific services only (specific exclusions are listed below), and the amount of discount may vary between services and is at our discretion.

Off-peak clinics are subject to availability. We reserve the right to end a promotion at any time. The promotion is valid for bookings made on specific days and times designated as off-peak for that service area. For example, a Pregnancy service must be booked in a pregnancy off-peak clinic, and a Medical service/ scan must be booked in a medical off-peak clinic. The discounted price applies to the regular cost of the service.

The Scan Clinic reserves the right to modify or terminate the promotion without prior notice.

The discount applies to scan costs only and does not cover additional services, consultations, or procedures. This promotion is for self-pay customers only. It does not apply to insurance claims or third-party billing. The terms and conditions of The Scan Clinic apply.

There are certain services or service areas that are not included in the off-peak clinics (please note that this list is not definitive or exhaustive and is subject to change). These exclusions include:

Changes & Cancellations

Altering bookings within 48 hours of appointment may invalidate the discount; standard pricing and fees apply.
